Hostrelax has always placed great importance on the privacy of personal information it collects and holds, and this Policy is designed to help you to understand how we manage your personal information.

What kind of personal data do we collect?

At various times, we will be obliged to ask you, as Hostrelax guests for information about you, and/or members of your family. Hostrelax only collects personal information, which is reasonably necessary for, or directly related to one of more of its business functions or activities. In the course of our day-to-day business, Hostrelax collects personal information at a variety of interactions. Personal information is information that could identify you. This may include:

  • Contact details (for example, first name, last name, telephone number, email, address)
  • Personal information (for example, date of birth, nationality)
  • Your credit card or other payment information
  • Reservation information including your arrival and departure dates
  • Your preferences and interests (for example preferred floor, type of bedding, other interests)
  • Information related to your reservation, stay or visit to a property
  • Marketing and communication preferences

The information collected in relation to persons under the age of 18 is limited to their name and date of birth, which can only be supplied to us by the parent/guardian. We advise that parents/guardians should ensure children do not send us any personal data without consent.

We may also collect information related to conversations, including recording or monitoring customer service calls for quality assurance and training purposes.

When is this data collected?

Personal data is collected at a variety of interactions – including but not limited to:

  • Accommodation daily functions such as reservations, check-in, payments, and during your stay
  • Participation in marketing initiatives, loyalty programs, surveys, competitions, or subscriptions
  • Online interactions such as visiting the Hostrelax website, online forms, or social media profiles
  • Through suppliers, contractors, or job applications
What do we do with this information?

Hostrelax uses the personal information we collect for purposes essential to the efficient day-to-day operation of our business, including but not limited to:

  • Managing reservations and guest services
  • Communicating requested information, products, or services
  • Improving and personalising services
  • Sharing data when necessary with third parties for authentication
  • Complying with legal and regulatory requirements
  • Marketing and communications, where permitted by law
Do we provide the information to anybody else?

In the ordinary course of our business, your personal information may be provided to third parties. Hostrelax does not sell personal information or provide it to mailing list companies. Possible recipients include:

  • Other entities within Hostrelax
  • External service providers (marketing, financial, legal)
  • Insurers, financiers, courts, tribunals and regulatory authorities as authorised by law
Sensitive information

Sometimes we may collect sensitive information (such as medical history for job applicants). This data is only used for the purpose it was provided, or directly related secondary purposes.

How do we store personal information?

We safeguard your data with secure cloud storage and take steps against misuse, loss, unauthorised access, modification or disclosure. Data is retained only as long as necessary, with sensitive check-in form data automatically deleted after six months in compliance with GDPR.

How do we keep personal information accurate?

We aim to keep personal information up-to-date. You have the right to access and modify your data. To request access, please contact us in writing and provide identification. A fee may apply depending on the request.

Management and security

Our systems are password protected with access restricted. Employees are trained to respect confidentiality, with breaches taken very seriously.

What if you have a complaint?

If you consider that any action of Serain Residences breaches this Privacy Policy, you can make a complaint via the contact details below. If unsatisfied, you may escalate to the Office of the Australian Information Commissioner (1300 363 992).

Updates to this Policy

This is the current ‘Privacy Policy’ for Serain Residences. It replaces all previous versions. The policy will be reviewed periodically, and Serain Residences reserves the right to update this Privacy Policy at any time by publishing changes online.
